Hello DMs, I'm looking for some tips on staying organized in ToA. I've ran Hoard of the Dragon Queen, Lost Mind of Phandelver, Out of the Abyss, and Curse of Strahd, and while all have had their challenges, none seem to be as hard to run as ToA. My main issue is keeping track of which npcs know what about what and what a party might gain from visiting a particular jungle location. I own both the physical copy and digital copy of the book, and I still find myself slowing the adventure down to a crawl while I try and find a little piece of information I remember reading. This is certainly not a criticism of the book's layout, just my struggle to keep organized at the table. I'm curious to hear any successful tips that you've developed to combat disorganization in ToA. Thanks!
I'd say that it would help you to keep your players focused on a specific expedition into the jungle. Ask them where they are headed and plan for that specific locations encounters as well as any side encounters they may find along the way. Don't steer them off track. It's sort of like railroading, but the players are doing it to themselves. It will help focus your game and give you less to have to worry about in the jungle sandbox that is ToA.

I got my PCs to take one of the guides, this was a great tool for me to help keep them on track.
I also use the campaign feature on this site and make notes in the DM only part, Public notes everyone knows. Plus, I told my players if they learn something it goes on their character sheets and if they forget to write it down then their character forgets it. And I will ask them if they share info with anyone or everyone. If everyone I note it in public notes. If specific people its on character sheets. We all update the character sheets on this site (printing fresh ones each game) and as the DM I can view all character sheets anytime. So this has REALLY helped me. Hope if helps you
