Hey, so, yeah. I've been trying for a while to understand how and when you prepare spells. As a DM that will have a party with a group of casters soon, I kind of have to know this.
Spell preparation takes place at the and of a long rest. Imagine it as part of a morning ritual: eat breakfast, wash face, prepare spells, pack camp.
I wouldn't put too much emphasis on role playing it out. Just let them do it when they recover their HP, hit dice, spell slots, and other long rest features.
