What is the best format to give mechanics to my squire or other retainers? for now, the squire will be with me as much as possible while avoiding combat, and the other retainers will only be with me (majoritively) when I'm in town. should we add sidekicks to my character sheet and add the squire as an icon on the map?

The retainers are NPCs who are sworn to you. You can give them commands (bearing in mind that they will have the stats of a noble and two commoner. If the command is not clear in the body of the IC post, you could always include a quick OOC to say what you are trying to do.
Additionally, the two commoners have this restriction placed on their behavior: They can perform mundane tasks for you, but they do not fight for you, will not follow you into obviously dangerous areas (such as dungeons). and will leave if they are frequently endangered or abused.
The squire is exempt from those restrictions as 1) the rule of cool applies, and 2) a noble is not a commoner and so would not be limited by any statement that begins 'a commoner will not do such-and-such'.
So you may fee free to endanger your squire as you see fit ... she would probably consider it on-the-job-training anyway.
...
I have added the three retainers to Dorn's sheet as sidekicks and added Aria to the map as well (the token for a 'noble' is a dude with a beard ... so we'll just have to suspend our disbelief a bit on that one).
I'm not sure if a new link is needed each time a map is created / deleted / recreated.
My next guess would be your issue is browser-based. Perhaps try clearing the cache on your browser? A lot of times browsers try to load webpages the 'lazy' way by downloading pictures just the once, on the first visit, and then that way when you revisit the site at a later time ... you don't ever have to waste time re-downloading each-and-every image. Your computer just displays an older version of the image and moves on with life..
But that creates problems when the picture you are trying to look at on a webpage has been updated since the last time you may have visited that particular webpage. A workaround I have seen is to clear the browser cache, and that will force a browser to follow the little wizard's advice from Willow. 'Forget all that you know ...or think you know ...' and when the browser looks at a webpage ... it downloads all the pictures (and thus the new/updated stuff as well).
OOC: If volneer moves forward, can he see the torch generating the torchlight
Only one way to know for sure. :)
...
Also, let's endeavor to use the OOC thread for posts that are 100% OOC.
If an IC post contains IC-stuff and then also contains a snippet of OOC it won't break my brain, but posts that are not at all In Character do not belong in the In Character thread.
The map stopped loading for me to earlier. But the link u just posted above does load now. Maybe they time out? something for us to keep an eye on maybe.
Since some folks are having trouble with the map, I adjusted each PCs movement to portray a full move toward the hole.
Remember, we are tracking things round-by-round. So if your PC can move 20', 25' or 30' then that is as far as they are getting in one round (unless of course you dash).
Apologies, gang, but the maps function of D&D beyond is not meant for PbP. If I am logged on, and you folks join in ... then we have the VTT. Easy peasy.
But once I log off, that's it. No one is allowed to access/edit the VTT.
It looks like the setup here is designed for support of a real-time game in mind.
PbP is, by its very nature, asynchronous. So what I can do is make a screenshot of the current setup each round and will include those pics as part of my round summaries.
When do we run the next round? I think everyone has posted their action and movement for this one, do we just wait for the DM to post?
That is how I'd like it to work, yes. I will do an intro post taht sets the scene and then call for actions. Folks respond in any order they see fit, and then once a) everyone has posted, or, b) it's been a few days, I will do a summary post and then we repeat. Sometimes, if needed, I may interject with a post (someone set off a trap or something else that would be immediately known), but that does not necessarily 'reset' the round.
For me ... running at full tilt ... this game will be not-more-than one summary-post per day. I just wouldn't be able to keep up.
We're at the beginning of a tale, so there is a certain amount of eagerness that accounts for the current rate, but I suspect we will settle into a 2-3 posts per week rhythm fairly quick.
Done and done! Thank you for the suggestion.
My ready comment was totally for flavor and not to ready an action. Thanks for calling that out, will be careful about my wording going forward!
Now that we are tracking things round-by-round, I wanted to let you guys know ... there is no expectation that we all post in initiative order.
It has been my experience that nothing slows a game down more than trying to enforce a posting order.
Cool, cool. That's what I thought as well.

Also the map is currently down for me, fyi.

Did you try this most recent link?

So from where he is, can Volneer see the torch?

The description remains unchanged. There is a flickering of distant torchlight coming from the hole in the earth.

I see this error again when I try the map:
Your DM is not currently hosting a game session.
Do others see that error also? Maybe some sort of timeout going on?
I see it too

Ah. I think I see what is going on.

Out the door to run some errands. Post coming this afternoon.

Just wanna say I love the start of this campaign so far. each character is very solid, and DM, you're very organized and on top of it 😎
